Add staff, roles, PINs and languages

Invite staff with their own login, role and interface language, and give service staff a quick PIN for the register.

Every person who uses the register should have their own user. That way sales, tips and commission are tied to the right person, and you can switch off access when someone leaves.

Roles

SmartPOS starts with Admin and Cashier roles. Create your own under User management → Roles, for example “Shift lead” who can give discounts but cannot see profit reports. Permissions are ticked per area: sales, products, purchases, reports, settings.

Add a user

  1. User management → Users → Add.
  2. Name, username and password (or send them an invitation email).
  3. Choose the role and the locations they can work at.
  4. Choose their interface language. A technician can work in Vietnamese while the front desk uses English.
  5. For commission, add their commission rate.

Service staff PIN

Restaurants and salons can give servers or technicians a short PIN to switch user at a shared register, without full logins.

When someone leaves

Deactivate the user instead of deleting them. Their past sales stay in reports under their name.
